Scope 2 3Pet Simple, Inc. ("Pet Simple", "we", "us") operates petsimple.com and the features made available through it (the "Service"). The Service is also offered through petsimple.ai, which continues to reach the same Service, and is intended primarily for users located in the United States. This Policy explains what personal information we collect and what we do with it. Please read it together with our Terms of Service and our Cookie Policy. By using the Service you acknowledge that we handle your information as described here. 4 5## 2. What We Collect 6 7### 2.1 Information you give us 8 9**Account and contact information.** Your email address, and where you provide them your first and last name, a display name, your phone number, your postal address including street, city, state and ZIP code, and a profile photo. We also record, with a timestamp, whether you asked for our Pet Parenting Tips emails. We separately record that you accepted our Terms of Service, this Privacy Policy and our Cookie Policy, storing which policy you accepted, the version of it, the place in the Service where you accepted it and the time. 10 11**Pet information.** Your pet's name, breed, age, birthday, weight, sex, spay or neuter status, microchip number, ZIP code and an optional photo. You can create more than one pet profile. 12 13**Pet health information.** The Pet Passport is where a pet's health record is kept. It can hold vaccination records (vaccine name, date given, expiry date and who administered it), prescriptions (medication, dosage, prescribing veterinarian and refill date), allergies, behavioral notes, care and feeding notes, the microchip number, and pet insurance details including provider, policy number, coverage type, premium and renewal date. You enter all of this yourself, with two exceptions. Where document upload is switched on for your account, our AI provider reads a document you upload and suggests entries, and nothing is added until you confirm a suggestion. And when Lemonade tells us you bought a policy after clicking through from us and your account has a single pet, we record Lemonade as that pet's insurance provider, as section 2.3 describes. We receive nothing else from a veterinary practice, an insurer or anyone else. Anyone with an account can build a Passport and can export, print, email or share it. Section 7 explains what a share link discloses and to whom. 14 15**Location information.** Your ZIP code, and your full postal address where you give it. We also store the matching geographic coordinates for your profile and for each local business you save, so that we can show them on a map. Geographic coordinates are precise location information. 16 17**Care team information.** The veterinary practices, groomers, trainers and other businesses you save, including business name, address, phone number, website, opening hours and rating, along with any practitioner name, last visit date and free-text notes you add. 18 19**Household information.** If you invite people to share your pets, we record who is in your household and when each person joined. For each invitation we record the email address you sent it to, who sent it, when it was sent and how many times, when it expires and when it was accepted. 20 21**AI Chat messages.** The messages you send and the replies you receive. AI Chat is live, and any signed-in account can use it. 22 23**Anything else you type**, including what you enter in the Pet Care Plan flow. 24 25**Documents you upload.** Where document upload is switched on for your account, you can upload a vet record or similar document for a pet. We store the document as soon as you upload it, whether or not we are then able to read it, and we keep it until the pet is deleted or you ask us to delete it, including after document upload stops being switched on for your account. We hold the file as you uploaded it or, for a HEIC photo, the JPEG copy the app makes of it in your browser before uploading, along with its name, size and type, the date you uploaded it, and the Passport entries our AI provider suggested from it, including any you have not yet accepted or dismissed. Section 4 describes how the file is read and Section 11 describes how long we keep it. 26 27### 2.2 Information collected automatically 28 29**Usage data.** Clicks, page visits, engagement with recommendations, and how you arrived, for example through an affiliate link or an ad. 30 31**Affiliate click records.** When you click through to a retailer we record a click identifier we generate, your Pet Simple account identifier, a browser session identifier, the product and where on the site you clicked it, the campaign source, medium and name from the link that brought you to us, and the Google Analytics client identifier and session identifier copied from the \`_ga\` and \`_ga_H7XSG9J23J\` cookies where they exist. This is how a partner credits us for a purchase or a referral, so it is created whatever your cookie choices are. Contact us if you want it stopped. 32 33**Insurance price request records.** Each time you ask to see an estimated price for insuring a pet, we store a record holding your account identifier, which pet you asked about and the time. That record
33is how we apply the limit on how many price checks can be run in a day. It holds nothing Lemonade sent back. Deleting the pet clears the reference to it and leaves the rest of the record, which is deleted with your account. 34 35**Use before you create an account.** Most of the Service works without an account. When you use it that way we create a durable record and store your pet profiles, recommendations, saved businesses and activity against it. We hold no name, email address or phone number for that record, so we cannot identify you from it, we cannot contact you about it, and we cannot verify or act on a request about it. If you create an account with an email address and password from that session, that same record becomes your account, so everything already stored against it stays where it is. If you sign up with Google or sign in to an account you already had, we move your pet profiles and everything attached to them, your chat messages and chat sessions, your affiliate click and conversion records, your feature visit records, your vet consultation records, your insurance price request records and your policy acceptance records onto that account, we copy over any profile details that account does not already hold, and we then delete the anonymous record. 36 37**Account activity.** Which features you have visited, when you were last active, how many AI Chat messages you have sent, and which prompts you have dismissed. This lives in our database, not your browser, so cookie settings do not control it. 38 39### 2.3 Information from other sources 40 41Affiliate networks tell us when a click or purchase happened, with the order value and commission, so that we can be paid. Lemonade sends back its estimated prices, and the coverage details behind them, when you ask for a price; we show you those and do not store them. Lemonade also tells us when someone who clicked through from us asks Lemonade for a price or buys a policy. Pet Simple may receive a referral fee from Lemonade when you request a quote. When a policy is bought and your account has a single pet, we record Lemonade as that pet's insurance provider in its Passport. Find a Pet pulls public adoption listings from third-party rescue databases; that is information about animals, not about you. 42 43## 3. How We Use It 44 45We use this information to build and personalize your Pet Care Plan, shopping list, breed guidance and local resource results; to hold the pet information you record; to run AI features; to send the messages and emails you ask for; to attribute an outbound click so that a retailer can credit us for a purchase, or Lemonade for a referral; to understand and improve the Service; to guide business decisions about products, partners and features; and to meet legal obligations and keep the Service secure. 46 47We may use aggregated or de-identified data, which cannot reasonably be linked back to you, for any business purpose. 48 49## 4. AI Features 50 51AI Chat, our shopping list generation and our product descriptions are powered by Anthropic's Claude models through Anthropic's commercial API. Anthropic processes personal information on our behalf as our AI service provider. Based on Anthropic's current commercial API practices, Anthropic does not use our data to train its foundation models. It keeps inputs and outputs for a limited period for trust and safety purposes. 52 53When you ask about a specific pet, we send Anthropic that pet's details so the answer fits your pet rather than a generic one: its name, type, breed, age, weight, sex, neutered status, the zip code you gave us, and the pet health information you have recorded for it, which includes its allergies, its behavioral notes and its care and feeding notes. We also send the names of the items on its shopping list. We do not send its microchip number, its insurance details, your name or your phone number. 54 55Where document upload is switched on for your account, we also send Anthropic the whole stored file, which is the document as you uploaded it or, for a HEIC photo, the JPEG copy the app made of it, so that it can suggest Passport entries from it. We attempt to read up to ten documents for each pet in a calendar month, and an attempt that fails on our side still counts. 56 57Chat transcripts are stored in our database against your account and the pet you asked about. They are not deleted at the end of a session, and recent history may be loaded and sent with your next message so the assistant can refer back. Contact us to have your history deleted. AI Chat is not veterinary advice, and you should not rely on it in an emergency. 58 59## 5. Cookies and Tracking 60 61We use Google Tag Manager, Google Analytics 4, Microsoft Clarity, two Meta advertising pixels, Vercel Web Analytics, Honeybadger error monitoring, Google Maps and Fonts, browser storage for your sign-in session, and browser storage that links your arrival to an outbound retailer click. Microsoft Clarity records your session, so a re
61cording can include screens showing your pet's health information and your contact details. Our Cookie Policy lists each one, what it stores and for how long. 62 63**Analytics currently starts before you answer the banner.** Analytics is on by default and marketing is off by default, so Google Analytics and Microsoft Clarity may begin recording on your first page view. If your browser sends a Global Privacy Control signal, analytics starts switched off. You can change this at any time through the cookie settings link in the footer. Turning analytics off stops anything further being sent, but it does not delete cookies already set or recordings already made. 64 65## 6. Who Receives Your Information 66 67**Service providers**, under contract and not permitted to use your information for their own purposes: Supabase (database, storage and authentication, holding essentially everything above), Vercel (website hosting), Google (Analytics, Tag Manager, Maps and Places, which receives your search location), Microsoft (Clarity), Anthropic (AI, receiving the pet details, pet health information and uploaded documents described in section 4), Resend (transactional email, including your Pet Care Plan), Loops (email marketing), Slack (an internal notification containing your email address when an account is confirmed), Honeybadger (error monitoring) and Stripe (payments). Paid subscriptions are not available, so Stripe receives nothing today. 68 69**Loops** holds your email address, first name, how many pets you have and your first pet's name, type, breed, sex, age, weight, life stage and ZIP code, so that our emails are about your actual pet. We create the contact record for every confirmed account. When you confirm an account we add you to our Getting Started series and our monthly round-up. The choice you make when you sign up controls one thing only, whether you also receive our Pet Parenting Tips series. Every email on those lists carries an unsubscribe link. 70 71**FirstVet**, our veterinary telemedicine partner, receives your first name, last name, email address, mobile phone number, date of birth, ZIP code, whether you opted in to marketing emails and the date you agreed to this transfer, together with each pet's name, species, breed, date of birth, sex, whether it is neutered and the internal reference we use for that pet. That reference is our own identifier for the pet, not an insurance policy number, and we send FirstVet none of your insurance details, vaccination records, prescriptions or Passport notes. We send it only when you ask to book a vet consultation and agree to the transfer on the screen that describes it, never on an ordinary visit. FirstVet then handles that information as an independent controller under its own privacy policy, not as our service provider. 72 73**Lemonade**, the pet insurance provider whose estimated prices we show, receives what a price needs when you ask to see an estimated price for insuring your pet: your pet's name, whether it is a dog or a cat, its breed, its sex, a size category derived from its weight, and its birthday, which we estimate from its recorded age where we do not hold the exact date; your state and ZIP code, and the rest of your postal address where we hold it; your email address; your first and last name and your date of birth where we hold them; and a referral identifier so that Lemonade can credit the referral to us, which is the identifier from your click where one exists and otherwise our own identifiers for your account and that pet. We send this only when you ask for a price, never on an ordinary visit, and we tell Lemonade not to use it for its own remarketing. Lemonade then handles that information as an independent controller under its own privacy policy, not as our service provider. 74 75**Affiliate networks and retailers**, including Amazon Associates, AWIN, Impact and CJ, receive the referral identifier we attach to an outbound link. We do not send those outbound-link networks your pet's name, health information or profile; what Lemonade receives is described above. We also send Google Analytics a
75server-side record of attributed purchases containing the Google Analytics client identifier, the Google Analytics session identifier for a recent click, your account identifier, a transaction identifier, the amount and the network. That transfer happens on our servers and is not controlled by your browser settings. 76 77**Adoption databases** receive the Find a Pet search criteria you enter, which is your ZIP code, radius, species, age and breed. They receive nothing about you or your pets. 78 79**Meta** receives page views and conversion events through two pixels. The one our site loads, which also reports retailer clicks with the product name and price, runs only if you turn marketing cookies on. The one loaded by our Google Tag Manager container currently runs whatever you choose, and reports page views, account creation and completed pet profiles with your pet's type. Our Cookie Policy describes both. 80 81**Our staff** use an internal tool that connects our database to an AI assistant for support and catalog work. An authorized administrator can read account records and pet records, including prescriptions. Access is restricted and logged. 82 83We may also disclose information where the law requires it, to protect people or property, or in a merger or sale of assets. 84 85## 7. Sending Things to Other People 86 87### 7.1 Sharing with your household 88 89You can invite the people you live with to share your pets' care. Everyone who joins a household can see and edit its pets and everything recorded against them, including health records, uploaded documents, insurance details, the care team, the Pet Passport and the summary of each vet consultation, and can add pets to it and create or turn off Pet Passport share links for its pets. People in a household can see each other's name and email address. They cannot see each other's chats with our assistant, account settings, phone number or postal address. The person who set up the household can stop sharing with anyone at any time, and anyone else can leave. Someone who stops sharing or leaves loses access straight away and keeps their own account, and the pets and their records stay with the household. If the person who set up the household has Pet Simple Plus, everyone in the household gets Plus features while they belong to it. 90 91### 7.2 Care plans, Passport links and invitations 92 93You can email your Pet Care Plan to someone, and a Pet Passport share link can be passed on. A Pet Passport share link opens nothing on its own. Whoever holds the link must also enter the five-character access code that we generate with it, and until that code is entered we return no information about the pet at all. Once the code is entered, the holder sees the pet's profile including its date of birth, ZIP code and microchip number, allergies, behavioral notes and care and feeding notes, recorded vaccinations and prescriptions, a summary of each vet consultation covering the diagnosis and the recommendation, the saved care team, and the name, phone number, email address and postal address of the person who added the pet, without signing in or having an account. Where you have recorded insurance for the pet, it also shows the insurance provider, the provider's phone number, the coverage type, the policy number and the renewal date. It does not disclose your insurance premium or any document you uploaded. A link does not stop working on its own, so it stays open until you turn sharing off from the Passport page, which deletes every share link we hold for that pet. When we email a Passport link for you, we send the link on its own and tell the recipient to ask you for the code. Links we emailed before this Policy was updated carried the code inside the web address and still open that way, so treat any of those you already sent as openable by whoever holds them. 94 95When you give us someone else's email address, you confirm you have their permission. For a Pet Care Plan or a Pet Passport link, we use it once to send what you asked for, do not keep it, do not add it to any list and do not contact them again. A household invitation is different. We keep the invited email address with the invitation, so that you can see the invitation in your Settings, send it again or cancel it, and so that only an account with that email address can accept it. We send it again only when you ask us to, we do not add it to any list and we do not use it for anything else. An invitation link stops working 14 days after it was last sent. None of these one-time or on-request sends carry an unsubscribe link. 96 97## 8. Your Rights and Choices 98 99You can ask us to give you access to your information, correct it, send you a copy, or delete it. You can delete a pet yourself, if you added it or set up the household it belongs to, from the My pets section of your Settings page, which permanently removes that pet and everything recorded against it, including its health records, its photo and its uploaded documents. There is no account deleti
99on control, no data export and no control for deleting a single uploaded document inside the product, so the rest are handled by hand. Email us at the address in Section 13 and we will action your request within the period the law allows. You can edit most of your own and your pets' details directly in the Service. When we delete your account, that deletion also removes your affiliate click records, your feature visit records, your insurance price request records, any role record we hold for you, and your policy acceptance records. Affiliate conversion records survive the deletion with your account identifier removed, because they are our accounting record of what a retailer paid us for a purchase, or Lemonade for a referral. We may keep some further records where the law, fraud prevention, tax or accounting requires it. 100 101We treat your precise location and your pet's health information as sensitive. We use it to provide the features you asked for. We do not use it for advertising and we do not use it to infer things about you. Ask us if you want its use limited. 102 103Depending on where you reside and the privacy laws applicable to our processing of your personal information, you may have rights to access, correct, delete, and obtain a copy of your personal information, and to opt out of certain sales, sharing, targeted advertising or profiling where applicable. We may verify your identity before fulfilling your request and, where permitted by law, you may designate an authorized agent to act on your behalf. If you are a California resident and our processing is subject to the CCPA, you may have the rights described above, including the right to opt out of certain sales or sharing and to limit certain uses of sensitive personal information where applicable. 104 105Depending on the applicable law and the circumstances of the disclosure, certain disclosures to advertising, analytics and affiliate partners may constitute a "sale", "sharing" or processing for targeted advertising. Our disclosures to Anthropic, Supabase, Vercel, Resend, Loops and Honeybadger are intended to qualify as service provider or contractor disclosures where applicable. You can choose whether analytics and marketing cookies run using the "Cookie Preferences" link in the footer, or switch analytics off by sending a Global Privacy Control signal. That choice lives in your browser, so it applies to that browser only, and it does not stop the affiliate click record, the server-side purchase record or the activity we log in y
105our account. Contact us to stop those. 106 107We do not currently respond to browser "Do Not Track" signals, since there is no common standard for how that signal should be interpreted. We do respond to Global Privacy Control, as described above. 108 109You can unsubscribe from our mailing lists using the link in any of those emails, or turn each list off individually under Communications in your account settings. We may still send transactional messages. 110 111## 9. Children 112 113The Service is intended for adults and is not directed to individuals under 18 years of age. We do not knowingly collect personal information from children in violation of applicable law. Contact us if you believe we have, and we will investigate and delete it. 114 115## 10. Security 116 117We use reasonable technical and organizational safeguards, but no system is completely secure. One thing is worth knowing because it is a choice we made. A Pet Passport share link does not require the holder to sign in, so the access code the owner sends separately is what protects the record. We return nothing about the pet until the correct code is entered, and we lock a link for fifteen minutes once ten incorrect codes have been tried. A link does not expire, so it stays live until you turn sharing off. You can delete every share link for a pet at any time from the Passport page. Links we emailed before this change carry the access code inside the web address, so anyone holding one of those can open the record without being sent a code, for as long as that link is live. Pet photos are stored privately; a shared Pet Passport shows the photo through a temporary address that is created only after the access code is accepted and that stops working shortly afterwards, so turning sharing off ends access to the photo along with the rest of the record. If a breach affects your information we will notify you and regulators as the law requires. 118 119## 11. Retention 120 121We keep account and pet information, including health details, until you delete it or ask us to. Deleting a pet in the Service removes that pet's records immediately, including its health records, its photo and its uploaded documents. Uploaded documents are otherwise kept until you ask us to delete them, and deleting your account does not by itself erase those files. We keep the record of your acceptance of our Terms of Service, this Policy and our Cookie Policy for as long as the account it belongs to exists, and it is deleted when we delete that account. We store one record for each policy version you accepted, so that record grows only when we publish a new version and never when you accept the same version again. If you never create an account, we keep the records created before you had one indefinitely unless you ask us to remove them. If you create an account with an email address and password while the anonymous session holding those records is still active, we turn that anonymous record into your account, so the records stay under it. If you create an account with Google, or you sign in to an account you already had, we move those records onto that account and then delete the anonymous record they were held under. Chat transcripts persist until you ask us to delete them. Household invitations, with the invited email address, are kept until the household is deleted, and an invitation you cancel is deleted straight away. A Pet Passport share link does not stop working on its own, and turning sharing off for a pet deletes every share link we hold for that pet. Where an older link carried an expiry, that expiry stops it opening but does not erase our record of it, so the record remains in our database until you turn sharing off or the pet is deleted. Affiliate click and conversion records are not deleted on a timetable. Click records are kept until your account is deleted and are deleted with it. Conversion records are kept indefinitely, and deleting your account removes your account identifier from them rather than removing the record, because it is our accounting record of what a retailer paid us for a purchase, or Lemonade for a referral. Analytics and session recordings are kept by Google and Microsoft under their own retention settings, not ours. Google keeps Analytics event data for 2 months and user data for 14 months. Microsoft keeps Clarity recordings for 30 days, except for recordings marked as favorites and a sample it selects at random, which it keeps for up to 9 months, and it keeps heat map data for up to 9 months. Aggregated or de-identified data may be kept indefinitely. 122 123## 12. Where Your Data Is Held 124 125The Service runs in the United States. If you use it from elsewhere, your information is transferred to and processed in the United States, which may have different data protection laws than your country. 126 127## 13. Changes and Contact 128 129We may update this Policy. If a change is material, we will update the date at the top and, where we hold a confirmed email address for you, tell you by email before it takes effect. We keep a record of individual acceptance of this Policy. When you submit the pet onboarding form, create an account through one of our sign up forms, or continue with Google, we record your acceptance of our Terms of Service, this Policy and our Cookie Policy. Each record holds the identifier of the account you are using at that moment, which may be an anonymous account created before you signed up, the version of the policy, the place in the Service where you accepted it and the time. We write these records on a best effort basis, so none is stored if you have no session with us at that moment or if the write does not succeed. 130 131**Email:** [email protected] 132**Post:** Pet Simple, Inc., 301 N.
